Job Opportunity: Employee Service Specialist

We are seeking an Employee Service Specialist for a permanent role in our client’s engineering center located in Montreal (Saint-Laurent) with hybrid flexibility (1 day/week remote).

About the Role

The Employee Service Specialist (ESS) is responsible for ensuring that engineering employees and consultants throughout Canada receive exceptional service across various requests, including payroll, benefits, PTO, and general employment inquiries. The ESS serves as the main point of contact for employees, acting as the primary liaison with onboarding, payroll, human resources, internal partners, and corporate benefits teams. This position offers long-term career growth potential and work-from-home flexibility (Fridays remote) if local to our Saint-Laurent office.

Essential Functions

• Ensure all employees are educated in benefits.
• Respond to and provide timely resolution to questions pertaining to pay, travel, vacation accrual, and other employment inquiries.
• Communicate with the payroll team to ensure proper off-boarding of terminated employees.
• Assist the payroll team with timecard collection, manager approval, and communication with internal partners and employees.
• Manage the Unemployment Process, including claims and hearings.
• Collaborate with the Worker’s Compensation team, Unemployment Representatives, and HR for FLMA, STD, and LOA processes.
• Audit PTO packages if applicable.
• Assist with immigration questions and follow up as needed.
• Update the PeopleSoft system with employee information as necessary.
• Coordinate the tuition reimbursement process.
• Actively seek opportunities to enhance employee engagement and satisfaction.
• Communicate all personnel changes, promotions, and terminations to appropriate partners and update systems accordingly.

Minimum Education/Abilities/Skills

• Bachelor’s degree is preferred.
• Bilingual – English and French required.
• Minimum 3 years of professional experience in a customer service and/or HR-related position.
• Experience in explaining and administering employee benefit plans and PTO/vacation packages is required.
• Proficiency in payroll, onboarding, employee service, and/or HR-related tasks is desired.
• Effective communication skills and the ability to follow up with employees are essential.
• Strong organizational and problem-solving skills, with the ability to determine priorities as needed.
• Initiative and the ability to work independently and self-assign tasks and projects are strongly desired.
• Well-versed in explaining and administering employee benefits.

Additional Compensation/Benefits

• $45,000-$49,000 CAD starting base pay, $4,000 CAD annual performance bonus potential, 18 days paid time off (vacation/personal), 8 paid holidays, RRSP, and Medical/Dental/Vision benefits.
